Last updated 13 October 2026. This notice covers visitors to this website and anyone who gets in touch with us or hears from us: what we collect, why, who else sees it, how long we keep it, and what you can ask us to do. Clients receive a separate client privacy notice with their proposal.

Who we are

TNM Solutions is based in Newcastle upon Tyne. For the information described here, we’re the controller. Email hello@tnmsolutions.co.uk.

This site sets no cookies

There’s no cookie banner because there’s nothing to consent to. This site stores nothing on your device and loads no advertising or analytics service.

What we collect, why, and for how long

When you send an enquiry or a design brief

Your name, business name, email, phone if you gave one (it’s needed for a call back), the time you’d like us to call, and your answers, including any websites you mention in a design brief. We use them to reply, to prepare a design if you asked for one, and to see whether we’re a good fit, because answering business enquiries is a legitimate interest, and it’s a step you’ve asked us to take before any contract. Web3Forms, a form delivery service, passes it to our email inbox (see below). We keep an enquiry for 12 months after our last contact if no work follows, so we can pick up a “not yet”.

When you use the free site builder

The builder runs in your own browser. What you type into it (your business name, what you do, your area and phone) stays there, in the page’s own address, and isn’t sent to us or anyone else. Nothing leaves your browser before then. Only if you press Book my free call does your design reach us, as an enquiry like the one above, with its link in it so we can see what you made, and the time you’d like us to call. It’s then kept the same way, for the same 12 months.

When we look your business up before contacting you

Your business’s name, address, legal form and public phone or email, your website and what we noticed about it (how quickly it loads, whether it works on a phone), and links to its social pages. We only use public sources: Companies House, the Food Standards Agency’s hygiene register, OpenStreetMap and your own website. From Google we keep only a reference number for your listing, never what it says. We use this to tell local businesses about a service they may want, and to make that first contact relevant (legitimate interests), and we say where we found your details the first time we get in touch. We only email or message limited companies and LLPs, and we screen calls against the Telephone Preference Service. Ask us to stop and we will, keeping only a note that you asked so it doesn’t happen again. Otherwise we keep it 12 months after we found you or last contacted you, if no work follows.

When we meet or speak

Your name, business, contact details and notes of what we discussed, so we can follow up (legitimate interests). We don’t record calls. We screen calls against the Telephone Preference Service and don’t send marketing emails to sole traders. Kept 12 months after our last contact if no work follows.

We don’t have a mailing list and we don’t sell or rent anyone’s details.

Stopping spam

To stop spam, our forms carry a hidden box that only automated programs fill in, and Web3Forms runs its own spam checks (below).

Like any web host, the service that runs this site sees your IP address when your browser connects, and keeps it in its own security logs.

Who else sees it

These providers handle information for us, each under its own terms:

  • Web3Forms (Web3Creative) — delivers what you send through our forms to our inbox. It keeps a copy for up to three years, and its spam checks send your IP address and email to spam-filtering services. Run from India, under the EU Standard Contractual Clauses with the UK Addendum.
  • Cloudflare — hosts this website, and passes email sent to hello@tnmsolutions.co.uk on to our inbox.
  • Google (Gmail) — our email inbox.

We also share information when the law requires it, for example with HMRC, and with our accountant, insurer or legal adviser when we need their help. Where a provider handles information outside the UK, it’s covered by UK adequacy regulations, the UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses.

If you become a client

How we handle your contract, billing, project files and support requests, and the providers involved, is set out in our client privacy notice, which comes with every proposal. If you’d like a copy before then, email us and we’ll send it.

Your rights

You can ask us for a copy of what we hold about you, and ask us to correct it, delete it, limit what we do with it, or stop using it. You can also ask for it in a portable format. Email hello@tnmsolutions.co.uk. We'll reply within one month, usually the same week. There's no charge.

If you're unhappy

Tell us first. Email hello@tnmsolutions.co.uk with "complaint" in the subject line. We'll acknowledge it within 7 days and give you a full answer within one month. You can also complain to the Information Commissioner's Office at any time: ico.org.uk/make-a-complaint, or 0303 123 1113.

Sites we look after for clients

On websites we build and look after for clients, the client is the controller and we act for them as their processor. What those sites collect is covered by each client's own privacy notice, not this one.

Changes

If this notice changes, the date at the top changes too. If it's a change that matters to you, like a new use of your information, we'll tell you directly.
